Introduction
The Documentation Section is one of the sections in the Service Quality Management Division, Center for Quality Assurance, Universiti Putra Malaysia (UPM). This section essentially plays a role in planning, managing, implementing, and monitoring all documentation-related activities for the ISO 9001 Quality Management System (QMS) and the ISO/IEC 27001 Information Security Management System (ISMS), as well as the implementation of activities fostering the Conducive Public Sector Ecosystem (EKSA) at UPM Serdang and Bintulu Campuses.
Function and Role
- Planning, managing, monitoring, and assessing the preparation and implementation of documentation for the ISO Management System at the UPM level, namely the ISO 9001 Quality Management System (QMS) and the ISO/IEC 27001 Information Security Management System (ISMS);
- Administering the UPM ISO Management System (eISO), including user system management, document review and verification, and document storage / archiving processes;
- Planning, maintaining, and organizing up-to-date information, ISO documents, internal reference documents, and external documents within the ISO Management System (eISO) and ensuring document search facilities;
- Planning, coordinating, and implementing improvements related to UPM ISO documentation management and ISO Management System (eISO) enhancements;
- Providing training and advisory services related to document control processes for the ISO 9001 Quality Management System (QMS) and the ISO/IEC 27001 Information Security Management System (ISMS);
- Assisting the Deputy Management Representative of ISMS in planning and managing the implementation of the ISO/IEC 27001 Information Security Management System (ISMS) activities and monitoring the performance of implementation to ensure the effectiveness of ISMS implementation at UPM;
- Planning, managing, monitoring, and assessing the measurement and achievement of Functional and Level Action Plan for all process leaders periodically;
- Planning and implementing improvements to the Functional and Level Plan Reporting System (e-LPFA);
- Planning, implementing, coordinating, and monitoring the implementation of Conducive Public Sector Ecosystem (EKSA) activities in all departments at UPM, as well as necessary improvements; and
- Providing training/guidance on the implementation of the Conducive Public Sector Ecosystem (EKSA) to departments at UPM.
